A Simple Client Onboarding Checklist You Can Automate
Welcome messages, documents and first-week steps, in order.
- A consistent onboarding process makes a new client feel looked after from day one.
- Most onboarding steps are predictable, which makes them good candidates for automation.
- Keep a person on the welcome call and anything involving agreements or payment.
Why onboarding matters
The first week with a new client sets the tone for the whole relationship. A smooth start, with clear information, the right documents and no chasing, builds confidence. A messy one creates doubt before the real work begins.
Most onboarding follows the same steps every time, which is exactly why it's a good place to automate.
A simple onboarding checklist
Here's a starting point you can adapt:
- Send a welcome message that confirms what happens next and who their contact is.
- Share the agreement for signature, reviewed by you first.
- Collect the information you need, such as contact details, access, preferences and documents, through one simple form.
- Book the kickoff call at a time that suits them.
- Send a short "what to expect" guide covering timelines, how to reach you and what you need from them.
- Set up their record in your CRM or project tool.
- Check in after the first week to answer questions.
Which steps to automate
Steps 1, 3, 5, 6 and 7 are usually easy to automate: they're the same every time and don't need judgement. They can be triggered as soon as a client says yes.
- 01Client accepts the quote
- 02Welcome and forms sent
- 03 · A personYou review agreement and kickoff
- 04Check-in after week one
Which steps need a person
- The agreement. You check it's right for this client before it's sent.
- Anything about payment. Deposits, terms and exceptions.
- The kickoff call. This is where the relationship starts. Make it personal.
Keep it human
Automated doesn't have to mean impersonal. Write every message in your own voice, use the client's name and keep the tone warm. The point is that nothing gets forgotten, not that nobody's there.
Our Quote & Booking service includes client onboarding: welcome messages, forms, checklists and document collection, with you approving the important parts.
