Why Your Quotes Are Going Cold—and How Automated Follow-Up Fixes It
Most quotes aren’t rejected. They’re forgotten. Here’s how to follow up on time.
- Most quotes aren’t turned down. They’re simply forgotten on both sides.
- A polite, well-timed follow-up often revives a quote that has gone quiet.
- Automation handles the timing; a person still reviews every quote before it’s sent.
Where quotes go to die
You spend time visiting the site, measuring and writing a careful quote. You send it. Then nothing. A week later you mean to check in, but you're busy, and it feels pushy. A month later the customer has hired someone else, or put the project off.
That silence rarely means "no". More often, the customer got busy too, had a question they didn't get around to asking, or was waiting for a nudge.
Slow quotes make it worse
The longer a quote takes to arrive, the colder the lead gets. Collecting the right details at the start, such as measurements, photos, timelines and budget range, means fewer back-and-forth emails and a faster quote.
A follow-up schedule that doesn't feel pushy
A simple sequence might look like this:
- A few days after sending: "Just checking you received the quote. Happy to answer any questions."
- About a week later: a short note offering to walk through it on a call.
- Two to three weeks later: a friendly final check-in, leaving the door open.
Keep each message short, helpful and in your voice. Stop the sequence as soon as the customer replies.
- 01Quote request with details
- 02 · A personOwner reviews and sends quote
- 03Follow-ups drafted on schedule
- 04Customer replies or books
What a person should always handle
- The quote itself, including pricing and scope.
- Any discount, change or negotiation.
- Replies that raise concerns or questions.
Automation keeps the timing reliable. You keep the judgement and the relationship.
