Key takeaways
  • Many “chatbots” either follow a rigid script or improvise answers that nobody approved.
  • A well-built assistant answers only from information you’ve approved and hands off when it’s unsure.
  • The difference shows up the first time a customer asks something unusual.

Two words, two very different experiences

"Chatbot" and "AI assistant" are often used as if they mean the same thing. For your customers, they can feel completely different.

The scripted chatbot

The older style of chatbot follows a decision tree. It's predictable, but rigid. Customers click through menus, get stuck when their question doesn't fit, and end up frustrated. Most people have met this kind of bot, and many have learned to type "agent" as fast as they can.

The improvising bot

Newer AI tools can write fluent, natural answers to almost anything. That's the problem. Without limits, they can guess, invent a price, promise availability you don't have, or answer a question they shouldn't. The answer sounds confident, which makes a wrong one worse.

A well-built assistant

The approach we use sits between the two. The assistant writes naturally, but it's limited to information you've reviewed and approved: your hours, services, policies and common questions. When a question falls outside that, or touches something sensitive, it says so and passes the conversation to a person.

  3. 03 · A personUnsure? Handed to your team
  4. 04Customer gets a reliable answer

Questions to ask any provider

  • Where do the answers come from? You should be able to see and approve every source.
  • What happens when it doesn't know? "It hands off to a person" is the answer you want.
  • Which topics are off limits? You should decide which subjects always go to a human.
  • Who updates it? Prices, hours and policies change. Someone needs to keep the information current.
  • Can you see the conversations? Reviewing them is how you spot gaps and improve answers.

Is it right for your business?

An assistant is most useful when you get a steady stream of routine questions that have clear, approved answers. It's less useful, and needs more care, when most questions need judgement. Our Knowledge Desk service starts by sorting your common questions into those two groups.
